HR systems: five tips to select the right one

For over 20 years Phase 3 has been working with businesses to research, select and implement new HR systems. So we asked the digital transformation experts to share its five top tips for selecting the right system for your organisation. 

1 Objectively assess your current situation

Is a new system the right choice? People often say they “just want something that works,” but perhaps their current system isn’t working for them. First, ensure that all the relevant modules and updates have been installed and implemented correctly, and that your staff have adequate system training. Addressing these could solve your problems far more quickly and economically.

2 Assemble your team

Make sure your project team involves all the departments that will come into contact with the system. This could include HR, payroll, finance, IT and operations. Ensure all stakeholders contribute their requirements to ensure you don’t look for a system that only caters well to some of your team.

3 The importance of demonstrations

Prepare for product demos and request to see specific functionality that is important to you – remember that you are not limited to the vendor’s standard script. Understanding how a system can perform particularly complex functions is crucial to making the right choice.

4 Embrace change

Your new system should be just that – new! Don’t be tempted to lift and shift existing processes into your new system, as they are unlikely to work as effectively. Instead, follow your new platform's best practices and innovations to maximise its efficiency.

5 Be prepared

Do your homework. A significant cost investment is attached to system selection, particularly when considering both the software subscription price and the implementation work. Furthermore, a large time commitment is needed from all of your project team, again both during the selection process and when rolling it out to the wider employee base. Be sure you know exactly what you’re getting yourselves into so you can budget accordingly.
